Venom Core Studio LLC ("Venom Core", "we", "us", or "our") is an independent game development studio incorporated in Oregon, United States. Our registered address is 1420 Neon Ridge, Portland, OR 97201.

This Privacy Policy describes how we handle personal information collected through our website at venomcore.studio, our games, and any other services we provide (collectively, the "Services").

By using our Services, you agree to the collection and use of information in accordance with this policy.

We collect information in two ways: information you give us directly, and information collected automatically when you use our Services.

  • Contact form submissions — name, email address, company name, and the content of your message when you contact us through our website.
  • Job applications — résumé/CV, cover letter, portfolio links, and contact details submitted via email or a third-party applicant tracking system.
  • Business enquiries — any additional details you share when discussing a project or partnership.
  • Newsletter subscriptions — email address if you opt in to receive studio updates.

Information collected automatically:

  • Usage data — pages visited, time spent on pages, referring URL, and clicks, collected via analytics software.
  • Device information — browser type and version, operating system, screen resolution, and IP address (anonymised where possible).

We do not sell your personal data. We never have, and we never will.

03How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to your enquiries — we use the contact details and message content you provide to reply to your messages and follow up where appropriate.
  • To process job applications — we evaluate your submitted materials to assess your suitability for open roles.
  • To send studio updates — if you subscribe to our newsletter, we send game announcements, studio news, and related content. You can unsubscribe at any time.
  • To improve our website and games — aggregated and anonymised analytics help us understand how visitors use our site so we can make it better.
  • To comply with legal obligations — we may process your data where required by applicable law.

We will only use your personal information for the purposes for which it was collected unless we reasonably consider that we need to use it for another reason that is compatible with the original purpose.

04Cookies & Tracking Technologies

Our website uses cookies — small text files stored on your device — to distinguish you from other visitors and improve your experience. We use the following categories:

  • Strictly necessary cookies — essential for the website to function. These cannot be disabled.

We do not use advertising or tracking cookies. We do not serve targeted ads and do not participate in ad networks.

05Third-Party Services

We use a limited number of third-party services to operate our website and studio. Each is chosen with privacy in mind:

  • Netlify — website hosting and form handling. Form submissions are processed by Netlify in accordance with their privacy policy. Data is stored on servers in the United States.
  • Fathom Analytics — privacy-focused website analytics. No personal data is shared with third parties; IP addresses are anonymised. Fully GDPR-compliant.
  • Google Fonts — typeface delivery via CDN. Google may collect basic request data (IP address) when fonts are loaded. We are evaluating self-hosting to eliminate this dependency.

We do not integrate Facebook Pixel, Google Analytics (standard), or any behavioural advertising technology on our website.

Our games may integrate platform services (Steam, PlayStation Network, Xbox Live, etc.) subject to those platforms' own privacy policies. Please review the relevant platform policy for information about data collected through gameplay.

06Data Retention

We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected:

  • Contact enquiries — retained for 2 years from the date of last contact, or until you request deletion.
  • Job applications — retained for 12 months after a hiring decision is made, after which unsuccessful applications are securely deleted.
  • Newsletter subscriptions — retained until you unsubscribe. Unsubscribe links are included in every email.
  • Analytics data — aggregated and anonymised; no individual retention period applies.

07Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Right of access — request a copy of the personal data we hold about you.
  • Right to rectification — request that we correct inaccurate or incomplete information.
  • Right to erasure — request that we delete your personal data ("right to be forgotten"), subject to certain legal exceptions.
  • Right to restriction — request that we limit how we use your data in certain circumstances.
  • Right to data portability — request that we provide your data in a structured, machine-readable format.
  • Right to object — object to processing based on our legitimate interests.

If you are in the European Economic Area, you also have the right to lodge a complaint with your local supervisory authority.

08Children's Privacy

Our website and corporate services are not directed to children under the age of 13 (or 16 in the European Economic Area). We do not knowingly collect personal data from children.

If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@venomcore.studio and we will promptly delete such information.

Our games may have their own age-rating requirements. Please refer to the applicable game page and platform ratings for age-appropriateness information.

09Security

We implement appropriate technical and organisational measures to protect your personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access.

These measures include:

  • HTTPS encryption for all data transmitted via our website
  • Access controls limiting staff access to personal data on a need-to-know basis
  • Regular security reviews of our systems and third-party providers
  • Prompt incident response procedures in the event of a data breach
No method of transmission over the internet is 100% secure. While we strive to use commercially acceptable means to protect your personal data, we cannot guarantee absolute security. We encourage you to use strong passwords and be cautious with the information you share online.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. We will update the "Last Updated" date at the top of this page when changes are made.
